Broker onboarding is a document race. The carrier who sends a complete, correctly-named packet in five minutes books the load; the one who says "let me find that" loses it.

The short answer
- A complete packet is six documents: W-9, signed broker-carrier agreement, certificate of insurance, FMCSA authority letter, notice of assignment, and a carrier profile sheet.
- The certificate of insurance must name the broker as certificate holder — a generic certificate gets rejected.
- If you factor, the notice of assignment must reach the broker before you invoice, or payment goes to the wrong place.
- Keep every document in one folder, named consistently, and pre-merged into a single PDF.
- Legal name and address must match your MCS-150 exactly across every document.
Broker onboarding is not a test of your driving. It is a test of whether you are organized enough to be a reliable counterparty. Every document a broker asks for exists to answer one question: if something goes wrong on this load, is there a paper trail and a solvent insurer behind it?

Lock your legal identity
Write down your exact legal name, DBA, physical address, EIN, MC number, and USDOT number as they appear on your MCS-150. Every document must match this string character for character.

Collect the static documents
W-9, authority letter, notice of assignment, and profile sheet do not change per broker. Merge them into one base PDF.

Set up same-day certificate requests
Get your agent's certificate request email or portal, and confirm turnaround time. This is the only document that must be issued per broker.

Store it where you can reach it from the cab
Cloud folder, consistent file names, accessible from your phone. If you cannot send the packet from a truck stop parking lot, the system has failed.
What stalls onboarding
- Name mismatch between your W-9, insurance certificate, and FMCSA record — the single most common rejection.
- Certificate showing cargo limits below the broker requirement, usually $100,000.
- Missing notice of assignment, which causes the broker to pay you directly and creates a repayment mess with your factor.
- Signing a broker-carrier agreement without reading the indemnity and detention terms.
- A P.O. box as your physical address — many brokers reject it outright.
